Outings – Submitting a Prospectus

Before a Cascades Mountaineers outing can be announced to the membership, a prospectus must be reviewed by the Outing Committee and approved by the Board of Directors. To submit your proposal for an outing, provide the information requested below to the Outings Committee. You may use the Blank Outing Prospectus Form (MS-Word Doc) or simply provide the information in a similar format. See example proposals at Outing Prospectus Example A and Outing Prospectus Example B.

Information for an Outing Prospectus

Outing Title: The Name of Your Outing

Outing Coordinator(s): Coordinator name(s)

Dates(s): The more specific the better; but due to weather conditions, etc., listing several dates is OK.

Start: Where the trip will start and at what time. Provide a ride-share meeting place if applicable.

Elevation Gain / (Loss): Optional but recommended - appropriate for mountain climbs, hike and backpack outings and multi-pitch rock climbs.

Distance / Grade: Provide information as accurately as possible for hikes and mountain climbs. Provide Rating /Grades for technical rock climbs.

Time: Describe anticipated roundtrip time in hours and/or days for hikes and mountain climbs and anticipated hours the participants can expect to be out if a single day Outing.

Directions to Start: Provide directions to the meeting place (trailhead, parking lot, Sno-Park, etc.) for the start of the outing.

Outing Description: This is where you make your Outing sound good – where you “sell” your Outing to prospective participants. Use this area to describe the route, climbs, activity, or other information that is pertinent, unique or special to the outing but might not be covered elsewhere. Remember, this is what will be posted on the Club’s Website describing your Outing.

Equipment & Clothing Needs: List a reasonable set of equipment and clothing that you expect the participants to bring. Don’t forget to include important safety and survival equipment that is appropriate for the outing. Use the Sample Equipment & Apparel Checklists to help you assemble your equipment and clothing needs.

Skills, Experience & Fitness Level Needed: Certain outings might require a skill set or fitness level to participate. Use this area to highlight what you are expecting of the participants.

Maximum Number of Participants & RSVP Requirements: There are several reasons that you may want to limit the group size for outings; including group logistics, environmental impact, coordinator/participant ratios, etc. Use this area to list the maximum group size and set a cutoff date to RSVP.
